Getting started

PassGuard is a digital guest-authentication platform for events. You create an event, add your guest list, send each guest a secure QR pass, and check guests in by scanning their pass at the entrance. It replaces paper invitations and manual guest-list checking with a faster, more secure process.

PassGuard is built for event hosts and organisers — weddings, corporate events, private parties, and similar gatherings — who want to control and track who attends. Hosts can run their events from the web dashboard or the PassGuard mobile app, and gate staff use the same app to scan passes on the day.

Sign up on the PassGuard website or in the mobile app with your name, email, phone number, and a password, then verify your details. Once your account is set up, you can create your first event.

Yes. The PassGuard app is available for iPhone and Android. Hosts can create events, add guests, send invitations, and follow check-ins from it, and gate staff sign in to the same app to scan guest passes at the entrance. Everything is also available to hosts on the web dashboard.

Creating and managing events

From your dashboard, start a new event and follow the guided steps: enter your event details (name, date, venue), set up your guest categories, and review before publishing. You can save your progress as a draft and come back to it.

A draft event is still being set up and isn't live — you can edit it freely. Publishing makes the event active so you can send invitations and check guests in. Publishing an event may require a payment.

Yes. You can update your event details from the event's page. Some changes may affect passes that have already been sent, so review carefully before making major changes close to the event date.

Open the event and use the delete option in its menu. Deleting an event is permanent and removes its associated data, so only delete events you're sure you no longer need.

Guests and passes

Add guests to an event individually from the event's guest list. For each guest you can set their name, contact details, category, and any plus-ones.

Categories (such as family, VIP, or corporate) are available on the Standard plan and above. They help you organise your guest list and see who's attending at a glance. You can filter and track check-ins by category.

When you add a guest to a published event, PassGuard generates a unique QR pass for them. This pass is what your gate staff scan to check the guest in. Each pass is tied to one guest and one event.

Yes. If a guest can no longer attend, you can revoke their pass before check-in so it will no longer scan as valid at the entrance.

Sending invitations

From the event's distribution tools, you can send each guest their pass through WhatsApp, and through email on the Standard plan and above. You choose the channel and the guests, then confirm the send.

Yes. Open your event's Invitations tab and choose Customise design. Pick one of the card themes, set an accent colour, and decide whether VIP guests get a badge. The preview shows your real event details with a sample guest. You can design the card before adding guests or paying, and change it later; guests who already have their invitation see the new design the next time they open it.

Yes. Invitations are sent to real recipients as soon as you confirm — there is no test or preview send. Always review your guest list and message before confirming a bulk send.

No. Guests simply receive their QR pass through the channel you choose and present it at the entrance. Only your gate staff need the PassGuard staff app.

The distribution area shows an activity log of recent sends so you can track what has been dispatched.

Check-in on event day

Your gate staff sign in to the PassGuard staff app, open the event, and scan each guest's QR pass at the entrance. A valid pass checks the guest in instantly and updates your live check-in count.

Your gate staff, using the PassGuard staff app on their phones. They sign in with their credentials and select the event they're working.

Your staff can find the guest in the app's guest list and check them in manually — useful if a pass image is damaged, screenshotted poorly, or the guest can't display it.

For now, we recommend a stable internet connection at the entrance so check-ins are recorded reliably in real time and your counts stay accurate across multiple staff.

Yes. Multiple staff can check guests in for the same event, and the check-in count updates as guests arrive.

Payments

PassGuard is charged per event. The fee to publish an event is shown at the time you publish, so you always see the amount before you pay.

Payments are handled securely through Paystack. You'll be taken to Paystack to complete your payment, and your event is published once payment is confirmed.

Yes. Payments are processed by Paystack, and PassGuard does not store your full card details.

Fees are generally non-refundable except where required by law or where we're unable to provide the paid feature. See our Terms & Conditions for full details.

Account and privacy

Use the "forgot password" option on the sign-in screen and follow the instructions sent to your email.

You can update your profile and account information from your settings in the dashboard.

Open Account in the mobile app and choose Delete account, or open Settings in the dashboard and choose Delete account. You'll be asked for your password to confirm. If you can't sign in, go to passguard.live/delete-account and follow the steps there.

We handle personal data in line with the Nigeria Data Protection Act 2023. As a host, you control your guest list, and PassGuard processes that data on your behalf to run your event. See our Privacy Policy for full details.
